Due to the custom nature of our digital services, all payments made to Meta Crafters are generally non-refundable. Once work has commenced on a project, the time, resources, and expertise invested cannot be recovered. However, we understand that exceptional circumstances may arise, and we handle refund requests on a case-by-case basis.
2. Advance Payment (Deposit)
The advance payment (typically 50% of the project cost) is required to secure your project slot and initiate work. This payment is non-refundable once the project has commenced, as it covers:
- Initial consultation and project planning
- Resource allocation and team assignment
- Research and strategy development
- Preliminary design or development work
2.1 Refund Before Work Commences
If you cancel the project before any work has started and within 48 hours of payment, you may be eligible for a refund of the advance payment, minus a 10% administrative fee to cover processing costs.
3. Service-Specific Refund Terms
3.1 Website & App Development
- Before Development Starts: Refund possible minus 10% administrative fee (within 48 hours)
- After Development Starts: No refund; payment covers work completed
- Post-Launch Issues: We provide 30 days of bug fixes for issues present at launch (not a refund, but corrective service)
3.2 Design Services (UI/UX, Graphic Design, Branding)
- Before Design Work Starts: Refund possible minus 10% administrative fee (within 48 hours)
- After Initial Concepts Delivered: No refund; revisions included as per agreement
- Dissatisfaction with Design: We offer revisions as per the agreed terms, not refunds
3.3 Digital Marketing & Advertising
- Service Fees: Non-refundable once campaign planning begins
- Ad Spend: Separate from service fees; unused ad budget may be refunded
- Performance Guarantees: We do not guarantee specific results (clicks, conversions, ROI) and do not offer refunds based on campaign performance
3.4 Video Production & Editing
- Before Shoot/Editing Starts: Refund possible minus 10% administrative fee (within 48 hours)
- After Shoot/Editing Begins: No refund; payment covers time, equipment, and resources used
- Revisions: Included as per agreement; additional revisions may incur extra charges
3.5 Content Creation & SEO Services
- Before Work Starts: Refund possible minus 10% administrative fee (within 48 hours)
- After Content Delivered: No refund; revisions offered as per agreement
- SEO Results: No refunds based on ranking or traffic outcomes; SEO is a long-term process with variable results
3.6 Monthly Retainer Services
- Monthly retainer fees are non-refundable
- Services are billed at the beginning of each month
- Cancellation requires 30 days' written notice
- No refund for partial months; services continue until the end of the billing period
4. Circumstances for Potential Refunds
Refunds may be considered in the following exceptional circumstances:
4.1 Service Not Delivered
If Meta Crafters fails to deliver the agreed-upon services without valid reason, a full or partial refund may be issued based on the work completed.
4.2 Duplicate Payment
If you accidentally make a duplicate payment, the duplicate amount will be refunded in full.
4.3 Technical Error
If a payment processing error results in an incorrect charge, the difference will be refunded.
4.4 Mutual Agreement
In rare cases, if both parties mutually agree to terminate the project early, a partial refund may be negotiated based on work completed.
5. Non-Refundable Circumstances
Refunds will NOT be issued in the following situations:
- Change of Mind: Client decides they no longer want the service after work has started
- Subjective Dissatisfaction: Client dislikes the creative direction despite it meeting the agreed brief
- Delayed Feedback: Project delays caused by client's lack of timely feedback or approvals
- Third-Party Issues: Problems with third-party platforms, hosting, or services outside our control
- Performance Expectations: Marketing campaigns, SEO, or social media services not meeting subjective performance expectations
- Scope Misunderstanding: Client misunderstood the scope despite clear proposal documentation
- Competitor Comparison: Client finds a cheaper alternative after project commencement
6. Refund Request Process
If you believe you are eligible for a refund, please follow these steps:
- Contact Us: Email metacrafters06@gmail.com with "Refund Request" in the subject line
- Provide Details: Include your project details, payment information, and reason for the refund request
- Review Period: We will review your request within 5-7 business days
- Decision: You will receive a written response with our decision and explanation
- Processing: If approved, refunds will be processed within 10-15 business days to the original payment method
7. Partial Refunds
In cases where a project is partially completed, we may offer a partial refund calculated as:
Refund Amount = Total Project Cost - (Work Completed + Administrative Costs)
Work completed is assessed based on:
- Hours invested by our team
- Milestones achieved
- Deliverables provided
- Resources utilized
8. Chargebacks and Disputes
If you initiate a chargeback or payment dispute without first contacting us:
- All work on your project will be immediately suspended
- Access to deliverables and files will be revoked
- We reserve the right to pursue legal action for breach of contract
- A chargeback fee may be applied if the dispute is resolved in our favor
We strongly encourage you to contact us directly to resolve any payment concerns before initiating a chargeback.
9. Refund Method and Timeline
- Method: Refunds will be issued to the original payment method used
- Timeline: 10-15 business days after approval
- Bank Processing: Additional 5-10 business days may be required for your bank to process the refund
- Currency: Refunds will be issued in the same currency as the original payment
10. Alternatives to Refunds
Instead of a refund, we may offer:
- Project Revision: Additional revisions to meet your expectations
- Service Credit: Credit toward future services
- Scope Adjustment: Modification of project scope to better align with your needs
- Extended Timeline: More time to provide feedback and refine deliverables
11. Client Satisfaction Commitment
While our refund policy is strict due to the nature of our services, we are committed to client satisfaction. We will:
- Communicate clearly throughout the project
- Provide regular updates and seek feedback
- Offer revisions as outlined in the project agreement
- Address concerns promptly and professionally

12. Force Majeure
In the event of circumstances beyond our control (natural disasters, pandemics, government actions, etc.) that prevent us from delivering services, we will work with you to either:
- Reschedule the project without penalty
- Provide a pro-rated refund for undelivered services
- Offer alternative solutions or service credits
